Defender Network Assistant

The Defender Network Assistant will play an important role in providing a broad level of administrative support to the Defender Network, including managing the processes and systems, and building the infrastructure to grow and strengthen the membership of Defenders. The role will also require coordination of logistics for Defender Network events.

For this role, professional fluency in Spanish is essential, because this person will regularly be interacting with Defenders in Mexico and Central America to integrate them in the systems we’ve developed, and will need to bring a service orientation to supporting Defenders’ individual and technological needs.
 

Details: This is a full-time position, reporting to the Defender Network Manager, and begins as soon as possible. 
 

Location and Travel:  Brooklyn, NY or San Diego, CA. May require occasional travel within the US and to Mexico and Central America. 

Salary and Benefits: The salary range for this position is $35,000-40,000, depending on experience. Justice in Motion provides reimbursement for health insurance and a generous vacation leave package.

Ideal Candidate Profile
 
  1. Spanish fluency in a professional setting: This person is either a native speaker, or has significant experience using Spanish professionally, whether living and working abroad in a Spanish-speaking country, or serving in a role where they engaged with Spanish-speaking migrant communities.

  2. Service mindset: They have thrived in service-oriented roles, where they had to work with many different personality types and needs. This person is very comfortable walking people through processes and systems, making it easy for people to do what’s needed.

  3. Tech-savvy: This is someone who easily picks up and adapts to new technologies and systems, can quickly figure out their way around a database, and knows how to use video and chat apps to find the best way to connect. Familiarity with Salesforce is a huge plus.

  4. Love of event planning: This person may have planned a few large or small events, and has a simple process they use to manage those projects. They truly enjoy using spreadsheets to track details and deadlines!

  5. Patience and adaptability: This is someone who knows people operate in different ways, and takes the time needed to work with each individual, and follow up appropriately. They are able to adapt to changing circumstances and needs, and figure out the right path forward.

  6. Proactive communicator: This person excels at confirming what’s being requested, checking for understanding, communicating progress regularly, and raising potential issues before they become major problems. They welcome feedback, and are oriented toward the larger success of the project.

  7. Poise under pressure: When things get chaotic, this person is at their best. When problems arise, this person proposes potential solutions, and then is ready to jump into action.


 

Responsibilities

This is a new position, and the duties will evolve over time. The primary focus of the role is to assist the Defender Network Manager in ensuring the network connects, communicates, collaborates, and convenes around its shared purpose: to protect migrant rights across borders.

Defender Network Infrastructure & Support

  • Perform regular data entry and Defender Network database upkeep in Salesforce

  • Support Defender Network member onboarding, connect with Defenders to capture their information in our systems, and build relationships.

  • Support the Defender Network membership process: Gather and process information from new members, prepare recommendations, and handle scheduling and logistics; monitor progress in bringing on new members, support follow-through, and troubleshoot as needed.

  • Track the membership process and identify areas for improvement to better serve members

  • Help conduct Defender Network surveys, gather data for statistics and reporting

  • Schedule Core Team, Committee, and Project Team calls, take call notes and distribute action items as needed

  • Maintain the Defender Network’s technological infrastructure (Google Drive, Google Group, WhatsApp, Facebook Group, SalesForce database/directory and Custom Network Google Map) and keep all systems up to date

  • Translate documents from English to Spanish and vice versa to benefit Defender Network and internal information sharing

  • Work with the broader Justice in Motion team to share accurate, relevant, updated information about Defender Network and program activities, and work with Communications team to manage related media (photos, videos) as needed
     

Defender Network Event Planning

  • Support the Defender Network Manager with project management for Defender Network events (large events, and smaller country-based events)

  • Run the event planning and logistics process for events, securing locations, vendors, flights and lodging / travel agencies, travel details including occasional support for visas. Work with designated local logistics contacts for each location to get on-the-ground expertise. 

  • Provide on-the-ground support throughout the events.

  • Communicate with event participants and gather information.

  • Set up and run logistics for webinars and videoconferences for the Defender Network.
