Office & HR Associate

The past year has seen tremendous financial and programmatic growth for Justice in Motion as we respond to the administration’s continuing attack on migrants. We are seeking an organizational whiz and calming presence to support our growing team as the Office & HR Associate.

The Office & HR Associate is a great growth opportunity
for someone who loves wearing multiple hats, who thrives in supporting others, and has phenomenal organizational skills.

Details: This is a full-time position, reporting to the Director of Finance and Administration, and begins as soon as possible.
 

Location and Travel:  Brooklyn, NY. May require occasional travel within the US; potential opportunity for international travel. 

Salary and Benefits: The salary range for this position is $45,000 - $50,000, depending on experience. Justice in Motion provides a reimbursable health insurance plan and a comprehensive leave package.

Ideal Candidate Profile

  1. Loves working behind the scenes. This person gets the importance of running simple and effective systems that make everyone’s life easier, and loves making sure people are taken care of.

  2. Is an effective manager of tasks and details. This is someone who regularly has several projects running in parallel (at home and at work!) and uses simple tools to keep everything moving forward, and to involve the right people at the right times.

  3. Is a whiz with technology. This person patiently helps others with simple IT tasks, and likes figuring out how to use new systems. Ideally, they have experience in a Mac-based environment, with both Microsoft Office and Google Suites.

  4. Enjoys learning and fixing things. This is someone who taps into existing resources and asks for help to master processes and systems. They also look for creative ways to solve problems, to support the team and make them feel cared for.

  5. Is a rock. When things get chaotic, this person is the calming presence. They are happy to jump in where needed to support the team, or find a solution.

  6. Is a great communicator. This is someone proactively shares what they’re working on and what issues they’ve run into.

  7. Is connected to our mission: Interest in social justice, migration, cross-cultural collaboration, or international work. This person has meaningful work or travel experience in Latin America, and ideally is proficient in Spanish.


 

Responsibilities

This is a new position, and the duties will evolve over time. The primary areas of responsibility include: 

Office Management

  • Facilitate day-to-day office systems and functions.

  • Assist Director of Finance and Administration with duties such as: 

    • Coordinating bank deposits and recordkeeping

    • Payroll administration

  • Coordinate vendor relationships and contracts, such as property management, insurance, equipment, etc.

  • Maintain and improve upon office procedures and routines.

Technology Support ​

  • Assist with basic IT support to staff as needed, approximately 3-5 times per month. This support typically includes:

    • ​Email, Google Suite, Microsoft Office set-up on Macs, and troubleshooting

    • Onboarding new employees to the IT systems

  • Facilitate training for staff on technology solutions

  • Support the identification and adoption of new IT systems

Human Resources Support 

  • Day-to-day support of HR processes and systems, including:

    • Managing job postings, and supporting the application review process for staff and interns

    • Coordinating employee engagement, onboarding, and celebration activities

    • Facilitating recordkeeping and new hire paperwork

    • Supporting payroll, benefits, and leave processes, as needed

  • Support the improvement of HR systems and processes
